Accounts and Policies in Civitas

Log in to Civitas in order to create Accounts and Policies.

Click Accounts Policies icon Account policy iconаto open Accounts and Policies form:

Account panel

In order to work with Policies, you have to select an account.

View Policy

1.      Double click on an account (Constitutional Officer, Local Government, and State) on the right panel.

2.      Click on the POLICIES button Account policy iconаto view all the policies for the selected account, shown below.

Update Policy

1.      Double click on the policy from the list which you want to update.

2.      All the fields in the Policy panel became filled, shown below:

3.      Make necessary change(s) in the field(s) and click Save the Data Save the data iconаicon to update the change(s).

POLICIES button helps you create new policy for agencies for a specific period of time. Policy defines the coverage for the agencies for a specific period of time.

Policies panel has the following fields:

a.       Account: Member belongs to one of three accounts types:

з         State

з         Local Government

з         Constitutional Officer

b.      Policy: The name given to the policy you would create

c.       Fiscal Year: The period of time which the coverage is applied to the property. This field is not editable.

d.      Effective Date: The start date of the policy

e.       Expiration Date: The end date of the policy

1.      To create a new policy, click the POLICIES icon Account policy iconаon the left panel and then click on Create a New Item Create new item iconаicon on the upper left corner.

2.      Click in the Account text box to activate on the down-arrow and click it. аDown arrow iconаThis will populate the quick look-up box up, shown below.

3.      Enter the type of accounts (State, Local Government, and Constitutional Officer). Select a member type and double click to auto fill the Account field. Account is a required field. Leaving this field blank and continuing to other field will give you the following message:

4.      Click in the Policy text box and enter the name for the new policy. Leaving this field blank and continuing to other fields or attempting to click on the Save the Data Save the data iconаicon will cause the following message.

5.      Select the effective date by clicking the up or down arrows or down-arrow in the Effective Date field. Leaving this field blank and continuing to other fields and attempting to click the Save the Data Save the data iconаicon will cause the following message.

6.      Select the expiration date by clicking the up or down arrows or down-arrow in the Expiration Date field. Leaving this field blank and continuing to other fields and attempting to click the Save the Data аicon will cause the following message.

7.      Click the Save the Data Save the data iconаicon on the upper left side to save the Policy created. The policy is now added to the list shown below.

Lines of Business

LINES OF BUSINESS button Line of business iconаhelps you create new Lines of Business for a policy of the agency for a period of time. Clicking the LINES OF BUSINESS button in the left panel will open the Lines of Business panel, shown below.

Line of Business panel has the following fields:

a.       Account: Member belongs to one of three accounts types:

з         State

з         Local Government

з         Constitutional Officer

b.      Policy: The type of policy available is based on the type of account selected.

c.       Line of Business: The Line of Business available is based on the type of account and policy selected.

d.      Effective Date: The start date for the lines of business.

f.        Expiration Date: The end date for the lines of business.

View Lines of Business

In order to view a line of business, you have to select a policy, shown below. Then

Line of business updatingаclick the LINES OF BUSINESS icon Line of business iconаon the left panel which displays line of business in the Lines of Business panel for the policy selected, shown below.

1.      Double click on the Line of Business from the list which you want to update.

2.      All the fields in the Lines of Business panel became filled, shown below:

3.      Make necessary change(s) in the field(s) and click Save the Data аicon to update the change(s).

Add Lines of Business

1.      Click LINES OF BUSINESS button Line of business iconаon the left panel and then click the Create a New item iconCreate new item icon on the upper left corner.

2.      Click in the Account text box to activate on the down-arrow and click it. Down arrow iconаThis will populate the quick look-up box up, shown below.

3.      Enter the type of accounts (State, Local Government, and Constitutional Officer). Select an account and double click to auto fill the Account field. Account is a required field. Leaving this field blank and continuing to other fields will give you the following message:

4.      Click the Policy box to activate the down-arrow and click it. Down arrow iconаThis will populate the quick look-up box up based on account type selected, shown below (State was selected as account type in this example). Select a policy and double click to auto fill the Policy field.

Leaving this field blank and continuing to other fields or attempting to click the Save the Data Save the data iconаicon will cause the following message.

5.      Click the Lines of Business box to activate the down-arrow and click it. Down arrow iconаThis will populate the quick look-up box up based on account type and policy selected, shown below (State was selected as account type in this example). Select a line of business and double click to auto fill the Lines of Business field.

Leaving this field blank and continuing to other fields or attempting to click the Save the Data Save the data iconаicon will cause the following message.

6.      Select the effective date by clicking the up or down arrows or down-arrow in the Effective Date field. Leaving this field blank and continuing to other fields or attempting to click the Save the Data Save the data iconаicon will cause the following message.

7.      Select the expiration date by clicking the up or down arrows or down-arrow in the Expiration Date field. Leaving this field blank and continuing to other fields and attempting to click Save the Data Save the data iconаicon will cause the following message.

з         Click Save the Data Save the data iconаicon on the upper left side to save the Line of Business created. The Line of Business that you created is added in the list shown below.
